    Looking at places this weekend...

    Hi ladies! I'm starting to look at venues this weekend (ahhhh!) and I have no idea what questions I should be asking... any tips? I know to ask about minimums and pricing and what can be put towards the minimum but anything else i'm kind of lost! I'm one of the first of my friends to get married so I don't have much to go on! Any tips would be welcomed :)

    I just went through this 3 weeks ago.  One thing I started doing was asking for the dimensions of the rooms.  One place would tell us they could fit 120 comfortabley and we felt claustrophobic in the room with just us and the tables and chairs! The place we ended up choosing could hold up to 220, but had the room set for 120 when we visited and it felt perfect. Having the dimensions of the rooms really helped us make the final decision.

    This probably goes without saying, but don't look at a venue that is beyond your budget, even just a "little bit". 

    Ask for a complete list of what is included and what is additional. 

    Check handicapped accessibility.

    Are there any local events on your preferred dates that would affect hotel availability or prices. 

    Do you have to use their vendors or do you have free choice.

    There are a few venues that have become quite sneaky about charges - i.e. the State Room - so get everything in writing.

    In terms of the bar (in case you are doing an open bar) I would also ask if you have to use their liquor or if you can bring in your own.  Some vendors mark there bar up quite a bit so you can save a lot of you can bring in your own alcohol.

    If you are having a cake ask them about cake cutting fees.  A lot of places also charge you per head on cutting the wedding cake which is ridiculous.

    If it is a big place I would ask if you would be the only one having a wedding at the same time.

    Also ask about administrative fees and when if there are any time limits to when you have to vacate the property.

    Oh yeah, and don't forget "who is going to set up the room" i.e. put out centerpieces, guest book table, etc. etc. 

    Will there be someone on staff to do it?  When can you bring your stuff - escort cards, cake knives, toasting glasses, favors, etc. etc.

    And, also, where will the gift table be?  Ideally, well inside the reception room, away from any public area and your function manager should periodically take the cards and lock them up temporarily if you don't have the entire venue to yourselves.

    I know I'm late to this thread, but here's my list:


    1.      Capacity

    a.      Configuration of tables, table size (8, 10 per table)

    b.      Dance floor – size

    c.      Cocktail reception space

     

    2.      Cost

    a.      Food & Beverage or Adult guest minimum

    b.      22% service fee:  what does this include?  Is it taxable?

    c.      Other fees (cork, cake cutting, set up fee, bartender, police detail, etc.)

    d.      Can you accept payment of deposit/balance by credit card or just cash/check? If by credit card, is there any additional fee for doing so?

    e.      When are deposits due? Full balance?

    f.        When do you need final count by?

    g.      What is your cancellation policy?

     

    3.      Facility

    a.      # events per night? If more than one, are there shared spaces (restrooms/terrace)?

    b.      Pictures of room set up for wedding

    c.      Private room for bride/bridal party

    d.      Is there a place to take photographs in case of bad weather?

     

    4.      Menu

    a.      Food options?  Cost for giving guests 2 selections?

    b.      Cocktail hour – cost to add cheese or veggie station? Hors D’oeuvres: says 5 and 4 in package info.

    c.      Discounted meals:

    i.  Vendor meal cost?

    ii. Cost for children < 10 years old?

    d.      Wedding cake included? Is the vendor Kondieter Meister?

    e.      Tasting included? When?

     

    5.      Bar

    a.      Is the cocktail hour included?

    b.      How many hours are in the package? Must they be consecutive?

    c.      Packages (open, consumption, etc.) Does per person include <21?   Beer, wine, soda only option?

    d.      Champagne toast?

    e.      Dinner wine service? Poured or on table? Amount?  Can we close bar during dinner?

    f.        Policies – when does bar close?

     

    6.      Timeline – Start/End time? Extended time?

     

    7.      Lines/Chairs/Décor – Are linens/flatware/stemware/service included?

    a.      What type of chairs? Linen options?

    b.      What size tables do you have? 60 inch rounds, 72 inch rounds, squares? - How many ppl per table?

    c.      High/lows for cocktail hour?

     

    8.      Parking - Cost/Valet/Overnight

     

    9.      Wedding coordinatorWhat exactly does he/she do leading up to and day of? Will he/she be present during the event?

     

    10.  Accommodations (if applicable)

    a.      Complimentary wedding night suite included?

    b.      Discounted room rate for guests

     

    11.  DJ/Band set up/requirements?

     

    12.  Ceremony on site location?  Backup for outdoor location if bad weather? 

    a.      Provide any decorations?  Arbor, arch, etc?

     

    13.  Anything additional to be aware of?

    Trex and Cosmo,  Both your responses were great.  I have copied them so when the next son gets married, I will be able to review them.  Although we have sons, with the cost of weddings now, we expect to contribute significantly.  We did for our first son and fully expect to do the same for our other son. 
    P.S. Cosmo, tried to contact you, but the message "bounced". It was in response to being in my area.

    Another couple of questions to ask;
    Does bar have tipping jar?  We did not want our guests to think they needed to tip, so this was important to us.
    Cost of buttercream vs. fondant icing if you are going that route.
    How much time is given for vendors to set up before the wedding.
